Reporting to the Manager for Events and Administration, the Coordinator will be responsible for assisting with the financial, clerical and administrative operations of the Mathematics and Physical Sciences (MPS) Division. This individual will coordinate the activities of a busy division, including planning review meetings, assisting with large annual meetings, arranging team travel, processing reimbursements and honoraria payments, as well as managing logistics for small seminars and workshops. The MPS Coordinator will be an integral part of the division’s administrative processes.
This is a temporary opportunity that could become a permanent position for the right candidate.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
<ul><li>File, create and respond to routine correspondence.</li>
<li>Prepare expense reports and manage invoices, including honoraria, via Concur for internal staff as well as external vendors (consultants, reviewers, visitors, etc.).</li>
<li>Schedule and provide support during MPS Team meetings; take and distribute meeting minutes.</li>
<li>Take proactive responsibility for the coordination of the division’s activities within and outside of the Simons Foundation; effectively manage and maintain MPS leadership and general MPS calendars, schedule appointments.</li>
<li>Manage the division’s presence on the foundation’s intranet including consistent updating of MPS meeting and events.</li>
<li>Coordinate small review meetings and workshops including polling for availability, collecting meeting materials, coordinating MPS team and Simons Foundation/Flatiron Institute leadership calendars and managing workshop participants and panelists through the life of the event.</li>
<li>Assist with large annual meetings and annual MPS advisory board meetings as needed.</li>
<li>Assist with oversight of MPS webpages on simonsfoundation.org.</li>
<li>Foster and build good working relationships, both internally and externally. The Coordinator must be able to work well with a variety of people.</li>

Duties and Responsibilities:

Do you have experience planning (and executing!) medical conferences and events, and do you love it? This Medical Meeting and Manager position will report to and work alongside the Organization’s Senior Meeting Manager and will have direct communication with the Association’s Executive Director. Experience and knowledge in academic and/or medical meetings, as well as keen knowledge and understanding of CME requirement criteria is essential. This position will oversee the entire abstracts submission and review process, and work directly with the volunteer committee chairs and members to design and implement their specific vision for their meetings (both part of the main program and pre-meeting/ICW programs). 
This role may also take on meeting and event planning responsibilities for other GET client meetings as well, which are not in the Life Sciences industry, and will work closely with all departments to ensure success on their meetings. This position may be responsible for budget development; client relations; program profitability; and day-to-day pre-operations program management, such as building and maintaining registration websites, QC processes and other logistical assignments.

The Bulk of the Job — Meeting Operations:

Job Description (Event Management): 
We are seeking people with CVent or other Software Management knowledge skilled at navigating software to build and launch our events. Most already reside within CVent.
We annually organize several hundred events throughout the U.S. and you will be supporting our managers in the field from building and launching new events and series of events (with existing institutions or creating new accounts) to registering clients, building marketing pieces 
processing payment transactions.
